In the ordinary case, yes. Inland Revenue's general rule is that most expenses a business incurs in earning its taxable income can be deducted, and training staff to do their current work with AI is an expense of running the business. On GST, a GST-registered New Zealand business that buys training from an overseas provider and tells the supplier it is GST-registered is usually not charged New Zealand GST; if the training will be used less than 95% for its taxable activity, the reverse charge may apply at 15%. Keep the records for seven years.

This is general information, not tax advice. Your accountant decides how it applies to your business.

When is staff training deductible?

Inland Revenue's IR320 Smart business guide explains that every business has expenses in generating its taxable income, and most of them can be deducted from income to arrive at net profit. IRD's examples do not list staff training by name, so the deduction rests on that general rule: the cost has to be incurred in earning the business's income, not for private purposes. Training employees in the tools they use at work is the ordinary case.

Do I pay GST on training from an overseas provider?

Usually not, if you are GST-registered. Inland Revenue's IR546 guide on GST for imported services says a registered business that tells a non-resident supplier it is GST-registered is usually not charged GST on services the supplier provides remotely.

The exception is the reverse charge. If a business expects to use an imported service less than 95% for making taxable supplies, it may have to account for GST on it itself. IRD's worked example treats a NZ400 service as a NZ460 supply: NZ400 plus NZ60 of GST at 15%.

A business that is not registered for GST may be charged GST by an overseas supplier that is itself registered in New Zealand, because non-resident suppliers of remote services to New Zealand customers can have to register, file and pay GST on those supplies.

What records should I keep?

IR320 says to keep all business records, including electronic ones, for at least seven years from the end of the tax year they relate to. For training, that means:

  • the invoice, showing the supplier and amount;
  • for an overseas supplier, a note that you told them you are GST-registered;
  • the names of the staff trained and the dates;
  • a line on how the training relates to their current work.

Does it matter whether the provider is NZQA-registered?

Not for the deduction under the general rule. It matters if your staff need NZQA credits or a qualification, or if you want a learner to use Fees Free or StudyLink, which only apply to registered providers. Square1 Ai is not NZQA-registered, so its courses lead to a graded record of each person's work, not NZQA credits.

Can government funding pay for some of it?

The Regional Business Partner Network has run co-funded capability training for small businesses, but we could not confirm its current terms on business.govt.nz on 30 October 2026. Ask your regional growth advisor what is available now, and which providers are registered for it, before you count on it.

Square1 Ai trains New Zealand small business teams live online, priced per person with no team discount. Prices are on the small business page, with sector pages for accounting firms and office admin and bookkeeping.
