AI training for office admin and bookkeeping in New Zealand
Square1 Ai trains small-business offices on Xero or MYOB in New Zealand to use AI well: invoices, bank reconciliation, tax returns and the AI built into Xero and MYOB. Live online on Zoom in your working hours, from NZ$185 a person for a team of five or more, with every exercise built on the work your office already does and the rules New Zealand businesses work under.
One published price for every team, no team discount. Plus GST where it applies. Square1 Ai is not an NZQA-registered provider.
What the AI in Xero and MYOB does, and what staff must know.
The training starts with the jobs the tool does first, inside the rules New Zealand businesses work under.
Invoices by chat in Xero
Xero's JAX chat is available to all Xero subscribers in New Zealand at no extra charge for now; it can create an invoice from a previous quote, suggest ways to improve cash flow and answer questions about income and profit trends. Staff need to check every draft and know JAX only sees what their own Xero permissions allow.
Reviewing AI bank matches
Xero's Comprehensive plan includes auto-reconcile, and MYOB's Smart Reconciliation is rolling out to eligible NZ customers. The bookkeeper's job shifts from typing matches to reviewing and rejecting the wrong ones before the period is closed.
Asking the books questions
MYOB's Ask Iris is available now on Lite, Pro and AccountRight, and AI Business Insights is in beta for eligible Pro and AccountRight browser customers. Owners need to learn to ask precise questions and check the answer against the reports before acting on it, as the Privacy Commissioner expects for any AI output.
Connecting ChatGPT or Claude to MYOB
MYOB's Connector, now in beta, gives Claude or ChatGPT a read-only view of the business's numbers. Under IPP 12 and the Commissioner's expectations, the owner has to decide whether client and staff details may flow to that offshore provider and do a quick privacy impact assessment first.
The rules your training has to respect
Bookkeeping AI handles customer, supplier and staff details, so the Privacy Act 2020 applies to every NZ business using it, and Inland Revenue's record-keeping rules still apply to whatever the AI produces.
- Privacy Act 2020, IPP 5 (security) and IPP 12 (disclosure outside New Zealand only with comparable safeguards): protect the personal information in the books and check where AI features and connectors send it; no small-business exemption
- Privacy Commissioner, generative AI expectations (May 2023): privacy impact assessment before adoption, human review of AI outputs before acting on them, and no personal or confidential information in prompts unless the provider confirms it is not retained or disclosed
- Inland Revenue record keeping (IR320 Smart business, Aug 2026): keep all business records, including electronic ones, for at least 7 years from the end of the tax year they relate to, so AI-coded transactions still need the source invoices and receipts

Four ways New Zealand companies train a team in AI.
Each one fits a different need. Leaders and the wider team often take different routes.
- Route 1
A university or IoD short course
Fits when a leader or director wants a day in a room at the University of Auckland or the Institute of Directors.
Watch for NZ$1,259 a person at Auckland and NZ$1,375 at the IoD for non-members, one person at a time, on their dates.
- Route 2
An NZQA micro-credential
Fits when you want a credential on the NZQA framework, for example Open Polytechnic's Level 5 AI micro-credential.
Watch for self-paced study over ten weeks rarely changes how a team works day to day.
- Route 3
Vendor courses for the tools you already use
Fits when your company is standardising on Microsoft 365 Copilot, Google Gemini or AWS and wants people trained on that tool.
Watch for a vendor course teaches the tool, not your workflow; non-technical teams usually need both.
- Route 4
A team trained and measured together (Square1 Ai)
Fits when you want every person placed by a test, taught live, graded on real work and measured again at week 12.
Watch for it takes a few hours a week from each person, and the results depend on them doing the work.
AI training for office admin and bookkeeping in New Zealand: your questions.
How much does AI for admin and books training cost for a team in New Zealand?
Live online courses are NZ$185 a person for a team of five or more, booked in your working hours. A four-week Sprint that builds one AI workflow with your team is NZ$6,200, and twelve weeks of Train + build is NZ$18,500. One published price for every business, plus GST where it applies.
Is JAX included in our Xero plan?
Xero's NZ pricing page lists JAX on Grow and Ultimate, as an optional add-on (NZ$8/month) on Ignite, and auto-reconcile on Comprehensive; the JAX page says there is currently no additional charge for JAX chat, though Xero may change that. Check your plan's page before relying on it.
Can AI-coded transactions be trusted for GST returns?
Treat them as a first pass. MYOB lets you accept or reject every automatch and Xero only auto-matches high-confidence lines, but the business still has to keep the source records for seven years and answer for the return.
Which staff should start first?
Usually the people AI already touches: office manager, bookkeeper and owner. A two-minute readiness test places every person, so nobody sits a course pitched at someone else's job.
What does a Sprint build for a small business's office?
One workflow your team picks, built with your people inside your own accounts over four weeks: for example invoices drafted from quotes with a check step, a weekly review of AI-matched bank lines, or a month-end pack your bookkeeper signs off. It ends with a pilot and a 30-question test, and the fee of NZ$6,200 counts toward Train + build if you continue within 30 days.
Is this NZQA-recognised training?
No. Square1 Ai is not an NZQA-registered provider, so its courses do not lead to an NZQA qualification or credits. Each person keeps a graded record of their work. If your team needs NZQA credits, choose a registered provider.
