ChatGPT for staff

What ChatGPT does in a small business, and what staff must know.

The training starts with the jobs the tool does first, inside the rules New Zealand businesses work under.

Office manager

Drafting emails and customer replies

ChatGPT drafts customer emails and replies in seconds, which is where most small-business use starts. The Privacy Commissioner's expectations say not to input personal or confidential information unless the provider has explicitly confirmed it is not retained or disclosed, so staff need to know to strip names and details first.

Business owner

Choosing a business plan

OpenAI sells ChatGPT Business with admin controls and says business data is not used for training by default. The owner has to know that staff's free personal accounts are a different arrangement, and the Privacy Commissioner expects senior leadership and the privacy officer to sign off before generative AI is adopted.

Admin or sales staff

Summarising documents and notes

Staff paste quotes, contracts and meeting notes in for summaries and action lists. The Commissioner expects a person to review AI outputs before acting on them and accuracy to be checked before information is used or disclosed, so the summary is a draft, not a record.

Marketing lead

Writing ads and website copy

ChatGPT writes product descriptions and social posts quickly. Under the Fair Trading Act 1986 a business must have reasonable grounds for a claim at the time it makes it, so someone has to check every AI-written claim before it goes out.

The rules your training has to respect

The Privacy Act 2020 and its information privacy principles apply to every business, with the Privacy Commissioner's generative AI expectations setting out how staff should use tools like ChatGPT; the Fair Trading Act covers anything it writes for customers.

  • Privacy Act 2020, IPP 5 (security), IPP 11 (disclosure) and IPP 12 (disclosure overseas only where comparable safeguards apply): no small-business exemption, so pasting client details into an offshore AI tool must meet these principles; IPP 3A (in force 1 May 2026) adds notice duties for indirectly collected information
  • Privacy Commissioner, generative AI expectations (May 2023): leadership and privacy officer sign-off, a privacy impact assessment, transparency with customers, human review of outputs, and no personal or confidential information in prompts unless the provider confirms it is not retained or disclosed
  • Fair Trading Act 1986 (Commerce Commission): no misleading or deceptive conduct, and claims must have reasonable grounds when made, including AI-drafted marketing

Your options

Four ways New Zealand companies train a team in AI.

Each one fits a different need. Leaders and the wider team often take different routes.

  1. Route 1

A university or IoD short course

Fits when a leader or director wants a day in a room at the University of Auckland or the Institute of Directors.

Watch for NZ$1,259 a person at Auckland and NZ$1,375 at the IoD for non-members, one person at a time, on their dates.

  2. Route 2

    An NZQA micro-credential

Fits when you want a credential on the NZQA framework, for example Open Polytechnic's Level 5 AI micro-credential.

Watch for self-paced study over ten weeks rarely changes how a team works day to day.

  3. Route 3

Vendor courses for the tools you already use

Fits when your company is standardising on Microsoft 365 Copilot, Google Gemini or AWS and wants people trained on that tool.

Watch for a vendor course teaches the tool, not your workflow; non-technical teams usually need both.

  4. Route 4

A team trained and measured together (Square1 Ai)

Fits when you want every person placed by a test, taught live, graded on real work and measured again at week 12.

Watch for it takes a few hours a week from each person, and the results depend on them doing the work.

Questions

ChatGPT training for staff in New Zealand: your questions.

How much does ChatGPT for staff training cost for a team in New Zealand?

Live online courses are NZ$185 a person for a team of five or more, booked in your working hours. A four-week Sprint that builds one AI workflow with your team is NZ$6,200, and twelve weeks of Train + build is NZ$18,500. One published price for every business, plus GST where it applies.

We're a five-person business. Does the Privacy Act really apply to how we use ChatGPT?

Yes. New Zealand's Privacy Act 2020 covers companies of all sizes, with no small-business exemption, and the Privacy Commissioner says every business needs a privacy officer. The Commissioner can fine up to $10,000 for serious breaches.

Can we use ChatGPT for client work if we remove names first?

That is the route the Commissioner points to: strip anything that could re-identify a person, or only input personal information where the provider has explicitly confirmed it is not retained or disclosed. A business plan that excludes training by default helps, but the Commissioner also expects a privacy impact assessment and human review.

Which staff should start first?

Usually the people AI already touches: office manager, business owner and admin or sales staff. A two-minute readiness test places every person, so nobody sits a course pitched at someone else's job.

What does a Sprint build for a small business using ChatGPT?

One workflow your team picks, built with your people inside your own accounts over four weeks: for example a set of approved prompts for your common emails and documents, a summary workflow your staff check against the source, or a one-page staff policy on what may and may not go into ChatGPT. It ends with a pilot and a 30-question test, and the fee of NZ$6,200 counts toward Train + build if you continue within 30 days.

Is this NZQA-recognised training?

No. Square1 Ai is not an NZQA-registered provider, so its courses do not lead to an NZQA qualification or credits. Each person keeps a graded record of their work. If your team needs NZQA credits, choose a registered provider.
