ChatGPT for staff

What ChatGPT does in a small business, and what staff must know.

The training starts with the jobs the tool does first, inside the rules Australian businesses work under.

Office manager

Drafting emails, letters and notices

ChatGPT drafts customer emails, policy notices and replies in seconds, which is where most small-business use starts. Staff now have to know to strip names, contact details and account numbers before pasting, because the OAIC recommends not entering personal information into publicly available generative AI tools.

Business owner

Picking the right ChatGPT plan

OpenAI sells ChatGPT Business with admin controls and says business data is not used for training by default. The owner has to know that staff's free and personal accounts are a different arrangement, so client work belongs in a business workspace, not on personal logins.

Sales or admin staff

Summarising documents and meetings

Staff paste proposals, contracts or meeting notes in and ask for a summary or action list. Under APP 6 the information can only be used for the purpose it was collected for, so staff need to know which documents may go in and to check the summary against the source, since the OAIC says AI outputs should be treated as probabilistic, not fact.

Marketing lead

Writing ads and website copy

ChatGPT writes product descriptions, social posts and ad copy fast. Whoever publishes it is still responsible under the Australian Consumer Law: claims must not be false or misleading and need reasonable grounds when made, whether a person or a model wrote them.

The rules your training has to respect

The Privacy Act 1988 and its APPs decide what client information staff may put into ChatGPT (for businesses the Act covers), the OAIC's Oct 2024 AI guidance says how, and the Australian Consumer Law covers anything ChatGPT writes that is published to customers.

  • Privacy Act 1988, APP 6 (use and disclosure), APP 8 (cross-border disclosure) and APP 11 (security): entering personal information into an AI product is a use or disclosure that must fit the original purpose, offshore processing triggers APP 8, and the product's security risks must be assessed before adoption. Most businesses under A$3m turnover are exempt unless an exception applies (e.g. health service providers)
  • OAIC, Guidance on privacy and the use of commercially available AI products (21 Oct 2024): do not enter personal, and especially sensitive, information into publicly available generative AI tools; check whether the vendor uses inputs for training; set controls on what staff may enter, backed by training
  • Australian Consumer Law (Competition and Consumer Act 2010, Sch 2) s18 and s29, as applied by the ACCC: AI-written marketing must not be misleading or deceptive, and claims need reasonable grounds when made, whether or not anyone meant to mislead

Your options

Four ways Australian companies train a team in AI.

Each one fits a different need. Leaders and the wider team often take different routes.

  1. Route 1

    A business-school short course

Fits when a leader wants two days at Melbourne Business School or UNSW AGSM and a name on the certificate.

Watch for A$3,500 a person at MBS and up to A$3,950 at AGSM, one leader at a time, on the school’s dates.

  2. Route 2

Nationally recognised training from an RTO

Fits when you need an accredited unit or a funded place, for example a TAFE NSW microskill.

Watch for short self-paced modules rarely change how a team works day to day.

  3. Route 3

Vendor courses for the tools you already use

Fits when your company is standardising on Microsoft 365 Copilot, Google Gemini or AWS and wants people trained on that tool.

Watch for a vendor course teaches the tool, not your workflow; non-technical teams usually need both.

  4. Route 4

A team trained and measured together (Square1 Ai)

Fits when you want every person placed by a test, taught live, graded on real work and measured again at week 12.

Watch for it takes a few hours a week from each person, and the results depend on them doing the work.

Questions

ChatGPT training for staff in Australia: your questions.

How much does ChatGPT for staff training cost for a team in Australia?

Live online courses are A$149 a person for a team of five or more, booked in your working hours. A four-week Sprint that builds one AI workflow with your team is A$4,990, and twelve weeks of Train + build is A$14,900. One published price for every business, plus GST where it applies.

We turn over less than A$3m. Does the Privacy Act stop staff using ChatGPT with client details?

Most businesses under A$3m are exempt from the Privacy Act, but not all: health service providers, businesses that trade in personal information, Commonwealth contractors and a few others are covered at any size. Even if you are exempt, the OAIC's advice not to put personal information into public AI tools is sensible practice, and your clients' contracts may require it.

Is a ChatGPT Business plan enough to make client data safe?

It helps: OpenAI says business data is not used for training by default and adds admin controls. It does not remove your own duties. Data may still be processed offshore (APP 8), staff still decide what to paste, and outputs still need checking. Training staff on what not to enter matters as much as the plan.

Which staff should start first?

Usually the people AI already touches: office manager, business owner and sales or admin staff. A two-minute readiness test places every person, so nobody sits a course pitched at someone else's job.

What does a Sprint build for a small business using ChatGPT?

One workflow your team picks, built with your people inside your own accounts over four weeks: for example a set of approved prompts for your common emails and documents, a summary workflow your staff check against the source, or a one-page staff policy on what may and may not go into ChatGPT. It ends with a pilot and a 30-question test, and the fee of A$4,990 counts toward Train + build if you continue within 30 days.

Is this nationally recognised training?

No. Square1 Ai is not a registered training organisation (RTO), so its courses do not lead to a nationally recognised qualification and are not eligible for VET funding. Each person keeps a graded record of their work. If your team needs an accredited unit, choose an RTO such as TAFE.
