Health practices

Where AI is already changing practice work in Australia.

The training starts with the roles AI touches first, inside the rules Australian GP, dental and allied health practices already work under.

GP

AI scribes for consultation notes

Ahpra's guidance names AI scribes directly: a practitioner using one must check the accuracy and relevance of the records it creates and generally needs the patient's informed consent, ideally noted in the record. The GP now has to know how to explain the scribe to patients and how to review its notes before signing.

Practice manager

Choosing and governing AI tools

Ahpra expects practitioners to understand how a tool was trained and tested, where patient data is stored and whether it is used to retrain the AI, and to check whether the TGA regulates it. The manager needs a register of approved tools and confirmation that the practice's indemnity cover includes AI use.

Physio or allied health clinician

Drafting treatment plans and letters

Clinicians use AI assistants to draft home exercise plans, referral letters and reports. They must apply their own judgement to every output, because Ahpra says responsibility stays with the practitioner even when a tool is TGA-approved.

Reception team

Bookings, reminders and patient messages

Front-desk teams use AI features in booking and messaging systems to answer common questions and send reminders. Every health service provider is covered by the Privacy Act regardless of turnover, so staff need to know what patient information may go into which tool.

The rules your training has to respect

Ahpra and the National Boards apply existing codes of conduct to AI, the TGA decides when AI software is a medical device, and every health service provider is covered by the Privacy Act whatever its size.

  • Ahpra and National Boards, Meeting your professional obligations when using AI in healthcare (Aug 2024): practitioners stay accountable for AI output, must understand the tool, should tell patients when AI is used, generally need informed consent for AI scribes that record consultations, and should check their indemnity insurance covers AI
  • Privacy Act 1988 small business exemption (OAIC): businesses with turnover of $3 million or less are generally exempt, but providers of health services are covered regardless of turnover, so the Australian Privacy Principles apply to every practice
  • OAIC, Guidance on privacy and the use of commercially available AI products (21 Oct 2024, updated 17 Jan 2025): best practice is not to enter personal information into publicly available generative AI tools; entering it is a use or disclosure under APP 6, and APP 10 accuracy duties apply to AI outputs

Your options

Four ways Australian companies train a team in AI.

Each one fits a different need. Leaders and the wider team often take different routes.

  1. Route 1

    A business-school short course

Fits when a leader wants two days at Melbourne Business School or UNSW AGSM and a name on the certificate.

Watch for A$3,500 a person at MBS and up to A$3,950 at AGSM, one leader at a time, on the school’s dates.

  2. Route 2

Nationally recognised training from an RTO

Fits when you need an accredited unit or a funded place, for example a TAFE NSW microskill.

Watch for short self-paced modules rarely change how a team works day to day.

  3. Route 3

Vendor courses for the tools you already use

Fits when your company is standardising on Microsoft 365 Copilot, Google Gemini or AWS and wants people trained on that tool.

Watch for a vendor course teaches the tool, not your workflow; non-technical teams usually need both.

  4. Route 4

A team trained and measured together (Square1 Ai)

Fits when you want every person placed by a test, taught live, graded on real work and measured again at week 12.

Watch for it takes a few hours a week from each person, and the results depend on them doing the work.

Questions

AI training for health practices in Australia: your questions.

How much does aI training for health practices cost in Australia?

Live online courses are A$149 a person for a team of five or more, booked in your working hours. A four-week Sprint that builds one AI workflow with your team is A$4,990, and twelve weeks of Train + build is A$14,900. One published price for every business, plus GST where it applies.

Do we need patient consent to use an AI scribe?

Generally yes. Ahpra says AI scribes that use generative AI usually need the patient's personal data, so informed consent is required, ideally noted in the health record, and recording a consultation without consent can have criminal implications.

Our practice is small. Does the Privacy Act still apply when we use AI?

Yes. The OAIC says health service providers are covered by the Privacy Act regardless of turnover, so the small business exemption does not help a GP, dental or allied health practice.

Which staff should start first?

Usually the people AI already touches: gp, practice manager and physio or allied health clinician. A two-minute readiness test places every person, so nobody sits a course pitched at someone else's job.

What does a Sprint build for a health practice?

One workflow your team picks, built with your people inside your own accounts over four weeks: for example referral letters drafted from your templates, reminder and recall messages, or a register of approved AI tools with a sign-off step. It ends with a pilot and a 30-question test, and the fee of A$4,990 counts toward Train + build if you continue within 30 days.

Is this nationally recognised training?

No. Square1 Ai is not a registered training organisation (RTO), so its courses do not lead to a nationally recognised qualification and are not eligible for VET funding. Each person keeps a graded record of their work. If your team needs an accredited unit, choose an RTO such as TAFE.
